Privacy notice

You are most likely reading this because you received a postcard, or were shown a link or QR code, for a demonstration assistant built for your business that you never asked for. This notice explains where we got your details, what we did with them, and how to make us stop. Telling you is a legal obligation on us, and a reasonable thing for you to want to know.
Who we are
Anna is a product of Botzone Limited, a company registered in Ireland (company number 814822; registered office on the public register at core.cro.ie). We are the data controller for the information described below. For anything in this notice, contact Stephen Keegan at hello@botzone.ai or 086 378 3327.
What we hold about you
For each business we contact, we may hold:
- Your business name, and the owner’s first name where it is published
- Your business postal address and Eircode
- Your business phone number
- Your website address and Facebook page address
- Your Google listing identifier, review count and rating
- Any public register reference that applies to your business (for example Safe Electric for electricians, RGI for gas installers, or Fáilte Ireland registration for accommodation)
- The text of publicly posted customer reviews about your business
- Facts we drew from the above to build your demonstration assistant, each stored with a reference to its source
- A record of what we sent you, whether the QR code was scanned, and any messages you send the demo
- If you send a photo to a demonstration assistant, the fact that a photo arrived, its size and its file type, and nothing about what is in it. The photograph itself is never stored, and neither is any description of it. It is read once so the assistant can tell whether it is the right picture, then discarded. It is not kept on any disk of ours, not sent to anyone else, and not used to train anything.
If you are a sole trader, some of this is personal data about you rather than only about a company, which is why this notice exists.
The one exception is anything you send the assistant yourself, a message or a photo. That came directly from you, so for that part your rights are the ones that apply when you hand something over knowingly, rather than the ones below about information gathered without you.
Where we got it
Almost none of it came from you. We collected it from public sources only:
- Public registers — for example Safe Electric, the Register of Gas Installers of Ireland, or Fáilte Ireland listings, which are published so the public can verify a business.
- Google — your public business listing and publicly posted reviews.
- Your own website, where you publish one.
- Your Facebook business page, where you link to one.
- Your public listings on booking or directory platforms (for example Airbnb or Booking.com), where you have one.
We did not buy your details from anyone, and we did not obtain them from any private source.
What we do with it
- We build a demonstration WhatsApp assistant for your business, using only facts drawn from the sources above.
- We test it to check it does not invent claims about your business, and a person reviews it before anything is printed.
- We post you a card with a QR code linking to your demo, or show you the demo in person or by a private link.
- If you scan it and message the assistant, we keep those messages so the conversation makes sense.
We do not use your data to train AI models. We do not sell it or share it for anyone else’s marketing.
Our lawful basis
Legitimate interests (GDPR Article 6(1)(f)): offering a relevant business service to a small owner-run business, using contact details that the business already publishes for the purpose of being contacted by people who want its services. We think this is a fair balance because the information was published for business purposes, the product is directly relevant to your business, we contact you once rather than repeatedly, and you can stop us permanently with one message. You have the right to disagree — see “Your rights”.
Automated processing
The demonstration assistant is built by a large language model from the facts described above. No decision is made about you that produces a legal or similarly significant effect. The AI provider that processes this data is Google (Gemini); data may be processed outside the EEA under the transfer safeguards in Google’s terms.
How long we keep it
- If you object or ask us to delete your data, we add you to a permanent suppression list and remove the rest, keeping only the minimum needed to recognise you and make sure we never contact you again (for example your business name or phone number).
- If you become a customer, we keep your data for as long as you use Anna, plus any period tax law requires.
- Otherwise we retain your details only while they are needed for the purpose above, and you can ask us to erase them at any time.
Your rights
You can ask us to let you object (for direct marketing this is absolute and we will simply stop), see what we hold, correct anything wrong, delete it, or restrict or port it. The fastest route is to text or WhatsApp 086 378 3327 with the word STOP, or email hello@botzone.ai. We will action it within 30 days and usually the same day.
You can also complain to the Data Protection Commission, 6 Pembroke Row, Dublin 2, D02 X963, dataprotection.ie.
Opting out
Text STOP to 086 378 3327, or email hello@botzone.ai, and say which business you are. We will suppress your details permanently and you will hear nothing further from us.
Changes
If we change this notice we will update the date at the top.
